GETTING STARTED WITH CALHOP BUSINESS
Create a Business account · Sign in · Forgot password?
Create your account and company
Use your full name and your own work email. Shared info@ and support@ addresses cannot be used as Business logins. Verify your email, set your password, then create your company or accept an invitation. Use the same individual account in the web hub and supported mobile Business screens.
Creating a company starts its five-day trial, including five travelling seats and one administrator-only account. No card is required and the trial does not automatically start paid billing. Your hub shows the company's access status. A person who records trips needs a travelling seat; the included administrator-only account is for office administration and exports.
Sign in and recover a password
Use Sign in for an existing account and Forgot password? to request a verification code before choosing a new password. Check your inbox and junk folder; verification codes expire after 10 minutes. Request a fresh code if necessary. Keep me signed in is suitable for a private device; sign out when using a shared computer. Never send your password or verification code to support.
Invite the team and choose access
Company owners and authorised administrators can invite members and assign the appropriate role and travelling-seat access. An invitation is for the named email address and expires after seven days. Members see their own trip records; authorised administrators can review company reports. Remove access when someone leaves and transfer ownership before deleting an owner account.
Calendar appointments and CRM notes
In a supported Business mobile build, connect and select your calendar, open Calendar & CRM, choose an appointment and explicitly match it to a CRM contact. CalHop then requests the latest three notes permitted by your connected CRM credential. HubSpot, Salesforce and Microsoft Dynamics 365 are supported by the integration code; provider sign-in registration is still being completed.
HubSpot credentials can read contacts and notes across the connected HubSpot account. To use HubSpot in CalHop, you must be the company owner or have the Administrator role, hold an active travelling seat and acknowledge this account-wide access when connecting in the web hub. Other members cannot use HubSpot. Earlier HubSpot connections are blocked until an eligible owner or administrator reconnects and completes that acknowledgement. Once connected in the web hub, the same authorised account can use HubSpot in a supported mobile Business build. Contact support if a connection is unavailable.
Record trips and export reports
Add or review the trip details, including the date, person, addresses, kilometres and elapsed time. Distances are entered and confirmed by the user; automatic mileage tracking is not included. Select the reporting period and available staff scope, review the records, and download the Excel report or email it to checked recipients. Email reports can contain company and client information. Check spam filtering with your organisation if a report does not arrive.
Business on iPhone and Android
The web hub can be used now. Business features for iPhone are being tested through TestFlight and may not be included in the public App Store version. The Android store app remains the existing individual CalHop app; do not assume it includes the Business beta. Contact support@calhop.com.au for current mobile beta availability.
Payments, existing subscriptions and Enterprise
Open the Business hub to review available subscription options. An authorised company owner or billing administrator must review and confirm the purchase before paid billing starts. The five-day trial does not automatically start a paid subscription. See plans and pricing for the published prices. A purchased Business subscription is managed in the Business billing portal. Existing App Store and Google Play subscriptions must be managed and cancelled separately through their store; joining Business does not cancel them automatically. Enterprise remains enquiry-only.
Need help with your company?
Email support@calhop.com.au with your company name, the account email affected and a short description. Include the app version or browser when relevant, but remove private client information from screenshots. See Business privacy and Business terms for account deletion and information handling.
NEED HELP WITH CALHOP?
We're here to help you get the most out of CalHop.
CalHop connects your calendar appointments with your preferred navigation app, helping you know where you're going and when to leave.
GETTING STARTED
Android
- 1. Open Calendar in CalHop and tap Select provider.
- 2. Choose Google, Microsoft or a compatible CalDAV provider, then sign in to your existing account. For CalDAV, use your provider's HTTPS server details and an app password if your provider requires one.
- 3. Select the calendars you want CalHop to use, then return to Home.
- 4. Allow location access while using the app for travel estimates. Allow notifications if you want leave-by reminders.
Android connects directly to your selected calendar providers. It does not read Android's device-calendar database. Employer-managed accounts may require your organisation to permit the connection.
iPhone and iPad
Open Calendar in CalHop, tap Add another account and select Google, Microsoft Outlook/Microsoft 365 or a compatible CalDAV provider. Sign in and select the calendars you want to include. The Apple / iCloud option can also connect calendars already synced to your iPhone or iPad, with your permission.
Allow the permissions needed for the features you use:
- - Calendar access: required when using calendars through your device's calendar access.
- - Location access: used to calculate travel times from your current location.
- - Notifications: needed for time-to-leave alerts.
You can manage device permissions in your phone or tablet settings. Connected calendar accounts may also have permissions you can manage through the calendar provider.
CALENDAR AND APPOINTMENTS
CalHop checks your selected calendars for upcoming appointments and uses physical destinations to provide travel information.
If an appointment is not appearing:
- - Check that the correct account is connected and the correct calendars are selected in CalHop.
- - If a connection has expired, sign in again through the relevant provider.
- - On iPhone or iPad, if you use device calendars, check that CalHop has calendar permission and that the calendar is available on your device.
- - On Android, check the provider connection in CalHop; enabling a device-calendar permission does not replace connecting your provider.
- - After changing an appointment, return to Home to refresh it. While Home is open, allow about a minute for the next automatic calendar refresh.
If an appointment appears without travel information, check that it includes a valid physical address or location. Online meetings, such as Microsoft Teams, Zoom or Google Meet appointments, may be identified as online and do not require navigation.
NAVIGATION
Supported navigation apps:
- - Android: Google Maps or Waze.
- - iPhone and iPad: Apple Maps, Google Maps or Waze.
Choose your preferred navigation app in CalHop Settings. If navigation does not open correctly, check that the selected app is installed and available on your device. A supported web fallback may open when the selected navigation app is unavailable.
TRAVEL TIMES AND LEAVE-BY NOTIFICATIONS
CalHop calculates estimated travel times and suggested leave-by times for eligible appointments. Your arrival buffer adds time before an appointment and can be adjusted in Settings.
Travel conditions can change. Travel times and reminders are estimates and do not guarantee an arrival time.
For leave-by reminders:
- 1. Make sure CalHop Pro is active.
- 2. Enable Time to leave in CalHop Settings.
- 3. Allow location and notification permissions on your device.
- 4. Check that the appointment has a valid physical destination, then return to Home to refresh its travel information.
CalHop refreshes calendar and route information while active and when you return to Home. It does not continuously monitor calendar changes or traffic while closed. Reopen Home after changing an appointment so CalHop can update the travel information and any scheduled reminder.
On Android, optional Alarms & reminders access can improve scheduling precision. Android's battery and notification settings may still delay reminders.
CALHOP FREE AND PRO
CalHop includes five free smart trips so you can try its travel-planning features.
CalHop Pro provides access to premium features including:
- - Ongoing travel-time calculations;
- - Automatic leave-by times;
- - Traffic adjustments while CalHop refreshes travel information;
- - Time-to-leave notifications; and
- - Future appointment previews.
To view subscription options, open CalHop Settings and select Upgrade to Pro. The relevant app store shows the price and subscription terms before you confirm a purchase.
PURCHASES AND SUBSCRIPTIONS
If you purchased CalHop Pro but it is not showing as active:
- 1. Check that you are using the same Apple App Store or Google Play account used for the purchase.
- 2. Open CalHop Settings and use Restore Purchases to recheck eligible purchases. On some screens, this option appears within the subscription screen.
- 3. If access is still missing, contact the support address for your platform below.
An App Store subscription does not automatically transfer to Android, and a Google Play subscription does not automatically transfer to iPhone or iPad. Restore Purchases checks eligible purchases through the relevant store.
Subscriptions are managed through the store account used to purchase them. You can also access subscription management from CalHop Settings when your Pro subscription is active.
Deleting CalHop, disconnecting a calendar or requesting deletion of personal information does not automatically cancel an active subscription. Cancel billing separately through the Apple App Store or Google Play.
ANDROID REVIEWER ACCESS
This option is for reviewers who have received dedicated credentials from CalHop. It is separate from a paid subscription and from your calendar login.
- 1. Open CalHop Settings, then Review access.
- 2. Sign in using the dedicated reviewer credentials provided privately by CalHop.
- 3. Connect the separate test calendar through Calendar using that calendar provider's own credentials.
- 4. Use Sign out of review access when finished.
Reviewer access is temporary. Signing out requests removal of the temporary Pro access managed by the reviewer service; it does not cancel a paid subscription.
