A LITTLE BREATHING ROOM

How leave-by times and arrival buffers work

A meeting time is not a departure time. Allow for the drive, parking and the walk inside before deciding when to leave.

The departure-time calculation

A useful starting point is: leave-by time = appointment start time minus estimated travel time minus your arrival buffer. The buffer is extra time you choose before the appointment; it is not a prediction of parking availability or a guarantee against traffic.

Worked example

For a 10:00 am appointment, a 35-minute drive and a 15-minute arrival buffer, the planned departure is 9:10 am. That allows arrival around 9:45 am, leaving 15 minutes before the appointment. These figures are an illustration, not a live route estimate.

Use the buffer for things a road journey may not cover: finding a parking space, walking to reception, signing in or reaching the right building. For a large site, choose an allowance appropriate to that visit rather than assuming one buffer suits every destination.

Set up CalHop reminders

  1. Connect your calendar and select an upcoming appointment with a valid physical address.
  2. Open Settings and choose your arrival buffer.
  3. For notifications, make sure CalHop Pro is active and enable Time to leave.
  4. Allow location and notification permissions needed for the feature.
  5. Return to Home to refresh the appointment's travel information and scheduled reminder.

CalHop offers five free smart trips to try its travel-planning features. Ongoing premium features and time-to-leave notifications are part of CalHop Pro. Check current plans and the subscription terms shown in your app store before purchasing.

When traffic or your appointment changes

A travel estimate reflects the information available when it is calculated. It may change with traffic, destination accuracy and your starting location. Do not treat a previously displayed time as a promise that you can still arrive on time.

CalHop refreshes calendar and route information while active and when you return to Home. It does not continuously monitor calendar changes or traffic while closed. If a client moves a meeting, changes the site address or cancels, reopen Home so the app can refresh the information and any scheduled reminder.

For later appointments, check the next journey again from where you actually are. A future preview is not a guarantee that a whole day's changing journeys have been continuously recalculated.

When a reminder does not appear

Check Pro access, the Time to leave switch and device permissions first. Confirm the appointment has a physical destination and belongs to a selected calendar. Review the phone's notification and battery settings; these can affect delivery.

On Android, optional Alarms & reminders access can improve scheduling precision, but device restrictions can still delay a notification. Keep your own awareness of the appointment time rather than relying on a single alert. For a repeated issue, contact Support with the device model, operating-system version and CalHop version, without sharing private client information.
